Upload & Retention Policy

This policy explains exactly what happens to files you attach in the CalFlow 360 portal — collision estimates, photographs, and OEM procedure documents — from the moment you select them to the point they are deleted. It supplements our Privacy Notice and Portal Terms.

1. What you can upload

The request form accepts collision estimates and supporting images in PDF, JPG, and PNG format. The technician completion page accepts job photographs and an OEM procedure document in PDF format. There is no fixed file count limit, but very large attachments may be rejected by email systems.

2. Reading your estimate happens on your computer

This is the part shops most often ask about. When you attach a PDF estimate, the portal opens and reads that file inside your own web browser to scan its text for repair keywords — windshield, front bumper, alignment, and similar — so it can suggest calibrations for you to review.

During that step the file stays on your computer. It is not uploaded to CalFlow 360, and it is not sent to any outside document-processing or artificial intelligence service. The only thing your browser downloads is the reading software itself, from a public code library.

If a PDF is a scanned image with no text layer, the portal cannot read it and will simply say so. Nothing is sent anywhere in that case either.

3. When files are actually transmitted

Your attachments leave your computer only when you press Accept estimate. At that point the completed form and every attached file are transmitted over an encrypted connection to our intake service, which sends them to us as an email work order.

If you close the page before accepting, nothing you attached is transmitted to CalFlow 360.

4. Where files are stored

Attachments arrive as email attachments in the CalFlow 360 business mailbox (service@driveflowos.com) and are filed with the corresponding job record. The portal does not maintain a separate uploads database or public cloud storage bucket, and uploaded files are not published anywhere.

5. Photographs on the technician page

Job photographs captured by our technicians — vehicle corners, VIN plate, tire placard, target setup, pre- and post-scan screens, completion screens — are attached to the completion packet emailed to your shop and retained with the job record as documentation of the work performed.

Calibration records are safety documentation. We retain them so that the work performed on a vehicle can be substantiated later, which protects your shop as well as ours.

7. Deletion requests

You may ask us to delete a specific uploaded file by writing to info@driveflowos.com with the Job ID and a description of the file. We will remove material that is not required as part of the calibration record — for example, a document uploaded to the wrong job.

We will not delete documentation that substantiates completed calibration work before the end of the retention period in section 6, because that record may be needed to establish that the vehicle was properly calibrated.

8. Please do not upload more than we need

Send the estimate and images relevant to the calibration. Do not upload Social Security numbers, driver’s license images, payment card numbers, insurance claim files containing medical information, or other sensitive personal information. If your estimate carries vehicle-owner details you would rather not share, redact them before uploading — the portal only needs the repair line items and vehicle information.

9. Service providers involved

Cloudflare hosts the portal and processes the submission. Resend delivers the email and its attachments. A public code library provides the in-browser document reader described in section 2. Each is described further in our Privacy Notice.

10. Security

Uploads are transmitted over encrypted connections. Access to the request form requires an access PIN issued to approved shops. The technician page is internal and restricted to authorized CalFlow 360 personnel. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
