Privacy Notice

This notice explains what information the CalFlow 360 service portal collects, why we collect it, who processes it on our behalf, and how long we keep it. It applies to the request portal at calibrate.driveflowos.com and to the service communications that follow from a request.

1. Who we are

CalFlow 360 (“CalFlow 360,” “we,” “us”) is an ADAS calibration, diagnostics, and programming service provider and a DriveFlow company serving collision and dealer shops. Questions about this notice: info@driveflowos.com.

2. Information we collect

We collect only what you enter or attach in the portal. We do not buy information about you, and the portal does not run advertising trackers or analytics scripts.

VehicleVIN, year, make, model, mileage, RO/PO number, current vehicle location and status, mobility, and keys/access instructions.
Service requestServices selected, reason for calibration, repair context, and requested date.
Uploaded documentsCollision estimates and photographs you attach. These may contain information about the vehicle owner, such as a name, address, or claim number.
AcknowledgementsA record of the authorization, accuracy, and privacy boxes you check when submitting.
Access PINVerified when you submit and then discarded. It is not stored with your request and is not included in the work order.

3. How we use it

We do not sell personal information, and we do not share it for advertising or cross-context behavioral advertising.

4. Estimates are read on your own computer

When you attach a collision estimate, the portal reads the document’s text in your own web browser to look for repair keywords and suggest which calibrations may apply. The file is not uploaded anywhere for that step. Your estimate is transmitted to us only when you press Accept estimate to submit the request.

5. Service providers

The portal relies on the following third parties. Each processes information only as needed to deliver the service described.

CloudflareHosts the portal and processes form submissions. Receives your submission in transit.
ResendDelivers the work-order and completion-packet emails, including any attachments.
NHTSA vPICU.S. Department of Transportation public VIN database. When you enter a 17-character VIN, that VIN alone is sent to decode the year, make, and model. No other information from your request is sent.
Google FontsSupplies the portal’s typefaces. Your browser’s IP address is visible to Google when fonts load.
Cloudflare CDNSupplies the document-reading library used in step 4. Your browser’s IP address is visible when the library loads.

6. Where your information is kept

Submitted requests arrive as email in our business mailbox at service@driveflowos.com, with any uploaded files attached. The portal does not maintain a separate customer database, and we do not store submissions in a cloud file service outside of that mailbox and our job records.

7. How long we keep it

We retain work orders, completion packets, and their attachments for as long as reasonably necessary for repair documentation, warranty, legal, accounting, and legitimate business purposes. Our email provider and Resend retain message data according to their own retention policies.

8. Your choices

You may request access to, correction of, or deletion of information you submitted by writing to info@driveflowos.com. Depending on where you live, you may have additional rights under applicable state privacy law, including the right to know what we collect and to request deletion. We will respond within the time required by law.

Some records cannot be deleted on request. Calibration documentation is safety-related evidence of work performed, and we retain it for the period described in section 7 even after a deletion request, to the extent permitted by law.

9. Security

Portal submissions are transmitted over encrypted connections (HTTPS). Access to the request form is restricted to shops we have issued an access PIN. The technician completion page is internal and restricted to authorized CalFlow 360 personnel. No system is perfectly secure, and we cannot guarantee absolute security.

10. Children

The portal is a business-to-business tool and is not directed to children under 13. We do not knowingly collect information from children.

11. Changes

If we change this notice we will post the revised version here with a new effective date. Material changes affecting how we use information already collected will be communicated to active shop partners.
